On Wednesday, July 26, our community will host approximately 20,000 RAGBRAI participants. Feeding such a crowd is not a small task, and we’re relying on help from many businesses and nonprofit organizations to accomplish it. We appreciate your interest in becoming part of our team as a food vendor, and we hope this letter answers any questions you may have about participating or filling out the Charles City RAGBRAI Vendor Application.
FEES: All nonprofit and existing business expansion vendors will be charged a $325 fee. Commercial vendors will be charged a $750 fee. Payment of the vendor and electrical fee ($100, if applicable) must be received before your application will be considered. When a decision has been made regarding your application, you will be notified by the vendor committee. A $100 deposit is also required for your vendor site, to be refunded within 72 hours of the event if your location has been cleaned properly. With payment of this fee, vendors will receive advertising in an information packet handed out to riders in the previous overnight town.
ELECTRICITY: There is a $100 fee if you require electricity – this can be indicated on the Vendor Application. If you use over 110 you must bring your own generator.
LOCATIONS: As the beverage garden will be set up near Central Park, most food vendors will also likely be located around Central Park (although some may be located in other areas within Charles City.) The vendor committee will work with vendors to select the location that will best benefit both the vendor and participants. A map of your location will be provided to you by July 1, 2017. A Charles City shuttle bus will pass near all approved RAGBRAI food vendors.
SIGNAGE: Food vendors are responsible for their own signs at their booth. We recommend printing neat, easy-to-read signs that include menu items and prices. You may also want to bring a sign that informs participants of your status if and when your food supplies run out. You will be given an “Official RAGBRAI Vendor” sign when you arrive, and you must display this prominently.
PRICING: Each vendor may set their own prices; we do, however, recommend that a discounted price be made available to RAGBRAI participants with a wristband or a Charles City Volunteer t-shirt. The vendor committee would be happy to assist with pricing recommendations. Please remember to list your prices on the Vendor Application.
FOOD SAFETY: The Iowa Department of Inspections and Appeals will inspect all food vendors on July 26, 2017 by 9 A.M., and will be monitoring all food vendors to ensure standards are met. If any vendor is found to be selling food that has not met the requirements, that vendor will be shut down. INSURANCE: All vendors will be required to show proof of liability insurance with a minimum of $1,000,000 coverage.
HOURS: All downtown streets will be closed after 3 A.M. on July 26, 2017. Please allow enough time to set up your equipment by starting early – we recommend all food vendors set up between 6 and 8 A.M. on July 26 to allow enough time for inspections and to be ready for early participants. The busiest time will be from 4 to 7:30 P.M., as this is when most participants eat dinner. However, you may want to plan on being open later as the beverage garden will remain open until midnight and the entertainment will finish around the same time, allowing plenty of time for more business after the dinner rush.
CLEAN UP: Please ensure that your location is clean before you leave. Dumpsters and trash cans will be provided for your convenience. Vendors are responsible for disposing of any grease, dirty water, or other materials that cannot be put into trash cans or dumpsters. We recommend that you schedule a clean-up crew to help clean your area before you depart. All vendors located near Central Park will be required to have their area cleaned up and their booths removed by 2 A.M. on July 27, 2017. If your location is left in disarray, your deposit may be forfeited.
We want your experience as part of our team to be as easy and rewarding as possible. With this in mind, we recommend that you plan well in advance, find a creative product to sell or a unique way of selling a traditional product, be aware of how much food to bring (too little may cost you patrons, but too much may go to waste!), and utilize your resources.
